Our Process & Fees
Designing a one-of-a-kind adventure retreat takes insight, planning, and a deep understanding of your team’s goals. To give every client our full attention and ensure your retreat runs seamlessly from concept to execution, we work through a clear, structured process with transparent fees at each stage.
Discovery & Vision Session: $250
This is where the adventure begins.
In this 60–90 minute session, we’ll dive into your team’s goals, group dynamics, and desired outcomes, and outline the most aligned retreat directions — from rugged wilderness immersion to mindful outdoor leadership experiences.
This fee reserves your spot on our planning calendar for 10 days while you decide whether to move forward.
(Non-refundable, but applied toward your Planning Fee if you continue.)
Planning & Hold Fee: $750
Once you’re ready to move ahead, this fee locks in your retreat dates and kicks off the creative process.
We begin developing your custom itinerary, connecting with trusted local guides and venues, and refining your retreat flow for both adventure and transformation.
Your dates are officially held once this payment and your signed agreement are received.
(Non-refundable once planning begins, but applied toward your total retreat cost.)
Retreat Contract & Project Deposit: 50% of Total Cost
After your proposal is approved, we finalize your contract and collect a 50% deposit to confirm all logistics, accommodations, and partner vendors.
The remaining balance is due 60 days before your retreat start date.

When do we pay for our activities and hotels?
Once we agree to work together and match you with one of our consultants, your consultant will coach as to the timeline of relevant hotel and adventure booking costs.
Can you work with our budget?
Absolutely. We’ll start with a discovery session to understand your goals, then build options that align with your team’s size, travel preferences, and financial comfort zone.
Where can Outdoor Maven’s take our team?
We are a Salt Lake City based business. Some common retreat areas folks tend to choose when they partner with us are: Park City, Moab, Jackson Hole, Capitol Reef, Southwest Utah (Saint George), Red Rocks Nevada, Joshua Tree, and Southern Idaho. With enough leed time, we can usually make your destination a reality.
